welcome to shoretel connect client training in this training we will walk through the layout of the client window go over call handling which consists of making and answering calls putting calls on hold parking and unparking transferring and how to check voicemail and the call history I will show you how to instant message from within the client and how to create groups we will also discuss the different types of conference calls and how to create them we will look at the individual customizable settings within the client connect client the basics this is a typical view of the client it is called the Dashboard please notice that there is an expanded version and a condensed version from this area you can set your status monitor check your voicemail look at your calendar events or even instant message other people from your directory who have the connect client  your availability strap down to show if you are available in a meeting or out of the office you can use one of the generic states where you can create a custom one of your own if you connect Outlook your client can control your availability State based on your calendar events you can also have specific voicemail greetings that are the people tab allows you to see your favorites and their availability States and your groups please note that there is an expanded and a can list  the recent tab shows your call history and your instant message history it is also where your voicemails are stored the effects tab is where you can use your calendar or add a new event  in the quick Tyler field you can type in the first few letters of the name in your direct or you can type in a phone number that you would like to call  the current call indicator shows calls that you're currently on if you are on more than one call there will be multiple listed  from the shoretel drop down at the top of the screen you can change your settings or open the user guide  we will now be I want to call handling how to make an answer calls from the client the trailer easily loves you directory for contacts just click on the quick Tyler field  enter the first few letters of contacts first or last name or type in the initials put a space in between the first and last initial as you enter the letters the quick Tyler will refine your search the icon next to a contact name indicates their availability if the icon is green the contact is available to take calls if it is orange they are on the phone if it is yellow they are in a and if the icon is red they are out of the office there are two ways to call a contact highlight his or her name and double click or high name and click on the green call button in the upper right-hand side of the screen there are five ways to answer an incoming call click on the green ham icon within that call cell which is the only option from the client  pick up the handset  push the hands button on the phone speaker button on the phone or the answer soft key  we will now talk about the whole feature placing or retreating a call from the Hulk you within the connect client is very simple to call Select the pause button from the current call indicator pop up letting you know that you have a call on hold  checking account on hold is just like answering the call Simply click one of the two can't sit icons associated with that call we will not talk about the different options will transferring a call the first option is technically a forwarding you have the ability to send a call directly to voicemail just click the voicemail icon and your connect line or push the 2 p.m. soft key on your phone all will then disappear from your queue the next option I will go over is a forwarding transfer this happens when an incoming call is forwarded to another party answer when the call shows up in your call so you can click the call forward icon  another window will appear type the name of the person you would like to for the call to  choose the type of transfer to release the call to do a blind transfer also known as a dragon drop quick on the indicator box and drag to a contact  select blind transfer  a direct transfer is the most popular type transfer when you are on a call you simply select the transfer button type in the name of contact quick on the contact name then click on the transfer button the call will then be released  the consult option is very similar to the direct transfer the first two steps so I'm starting on 3rd step here click on the transfer button type in the contacts name and click the consult button when you select the consult option the first call is automatically put on hold while you are reaching out to the second contact once the second contact answers and you have spoken you have the option to transfer by hanging up or you can return to the original call  working a ton parking start of a mix between hold and try can you call to place a call on hold at another extension and had the ability to pick it up from anywhere in the office  Parker Kohl on the transfer button and type in the name or number of the contact that you would like to park the call at once the contact is selected click Park by clicking park it will automatically do a consult transfer if you want to bypass the consult feature click the P button you could also a page or intercom if your system allows the parked call will be placed on hold until the other extension is picked up here we see of you of the window please notice that you can retrieve this call by clicking on the green handset wants to call his picked up it will disappear from the cold window  to retrieve our call on your line it's just like a normal call just click one of the two green handsets if you are picking it up at a different engine sake your extension and press the unpark soft key again  we will now go over voicemail where to find it how to check it and other options  to check voicemail click on the recent tab on the dashboard  locate the drop-down list in the upper left-hand corner of the screen select the voicemail option  you can tell they're down this list further by picking specific categories missed flight or delete listen to a voice message click on the message you would like to listen to select if you would like to hear it through your speakers or your handset click the play button after you have listened to the voicemail you have the option to reply forward or delete the message if it is from someone who isn't in your list you can't reply to the message but you can call them back by clicking the green handset  to reply or forward a message select voicemail  quick reply or forward depending on what you would like to do  click the red circle to record or reply once the red circle is clicked it changes into a gray stop button when you have finished recording your message click the stop button be sure to edit the two and subject fields  specify if you want to send it as urgent private or shower seat then click Send to delete a voice message all you need to do is select the message and click delete messages that have been deleted for more than 6 hours deleted folder at 2 a.m. server time if you deleted something accidentally or just need to recall a message click on the deleted tab locate the voicemail you would like to recover and click restore this will bring the message back to your inbox  to play the voicemail right click on the message and select flag voicemail  from here we will talk about your history in the connect client call ends WR Source information about your calls you can see what type of call it was who called the number of the caller the time of the call and the duration this happens to be in the same place where you check your voicemails just click on the recent tab  instead of just voicemail you can choose to see all of your previous interactions just your calls or just instant messages you can filter down this was further by picking a category all missed or deleted  instant messaging is it convenient feature of the connect client if you don't want to call a contact or are on another call you can send them select a contact you would like to send a message to buy single clicking their name it will bring up the information and a messaging box type your message in the message here box and hit enter to send  the group's feature is another useful tool of the connect client it is a fast Seaway to keep everyone on a team up to date  you can create a group by clicking on the people tab  and flipping the groups at the top of the page choose the new group tab at the bottom of the page  type in a name for the group members and click save  here's a list of what you can do with groups start a group chat schedule a meeting with the group or send a voicemail to the group you can also availability states of all group members  we will now move on to conference calls first we will look at the different ways to create conference calls  so you were on a phone call with someone and you want to conference someone else in select add person icon  type in the name or number of the contact this could be an internal or external number this is what the conference screen looks like  to end a call you need to click the drop-down menu in the call box you have to individual Colors by selecting the hang up icon and then crawl sells if you just click the hang up button on the top of the screen the other colors are still in line and can continue you talk to each other  the next type of conference call is created through my conference bridge to find your conference Bridge information quick on your name by the photo ID status  select copy to clipboard then paste the information into a meeting event email or instant message and send off to the recipients  when you are the host of a conference Bridge call you can join by clicking your name by the availability status quick on my conference Bridge and select join my event now if you are a participant in a my conference Bridge how do you call the number given in the invite and when you are prompted enter in the participant code you will then be connected  if you are joining conference you can just click on the link given in the invite the link will prompt you to enter your name and then click enter  type in your number and click answer the phone when it rings and you will be connected  another way to schedule a conference call is through the events tab click on the add new event at the bottom of the screen  adding the information please note there are more options in settings below the agenda once you are done quick create event this will open your outlook and send it as an email  when's the meeting invited sent it will appear in your events upcoming events are also placed in the side of the dashboard if you have Office 2010 or 2013 you can also create what is an Outlook unfortunately 2016 is not yet supported  to create a new conference open a new appointment and click the conference this will Top you late information for your call if you are doing an audio only call you can delete the link and the click to join button invite attendees to join and click Send  to join a call for Outlook open the meeting in your calendar click on that quick or the link if it is a Web Conference if it is an audio call the number provided and when prompted enter the participant code we will not go through the basics of the Web Conference screen  this is the basic view of the participant screen sometimes you have multiple percent conference sharing cab let you know who is sharing their screen  the now speaking tab tells you who is speaking it can change brake play depending on the type of call there is a group chat that can be used in some calls some host may choose to disable this feature depending on host settings sometimes you are able to see who else is on the call if you choose to drop out of the call there is a hang up icon there's also an option to mute yourself if you need to talk to someone in your office and didn't want to interrupt the call you have the option to share your screen whether this would have to be approved by the host if your host allows you could add a participant by clicking this button  if you have question you can click that raise your hand button this will show up on homescreen and they can address your question  the whole screen looks different it also has the now speaking tab which lets you see who's talking  if someone raises their hand it will notify by student how about on the side of the dashboard as the host you have the ability to mute all of the calls this is where notifications come in handy the information tab gives you the dial-in information for the call  if you click the screen sharing icon you can share your screen or just this meat button will let you mute yourself if you need to talk to someone but don't want everyone hearing you could invite a person to coin by clicking this button  you could choose to record the conference or any phone call by clicking the record button this will send you away file email by clicking the lock button you can stop people from joining the conference if you are presenting with another contact you have the ability raise your hand if you have a question is what the whole screen looks like for screen sharing if you click on the screen sharing option and choose window are Redbox pull up here and that box will be a portion of the screen that you are sharing with the conference  this is the participant view of the screen sharing the host you have a few different options to end a conference you could end it for Everyone by clicking the X in the my conference box from there select the unbuttoned this will hang up on everyone and notify them that the conference has ended or the other option is to just click the leaf button everyone else in the call to keep talking  here's the notification everyone will see if you click the leave and unbutton now go through the customizable settings you get to settings click on the shoretel drop-down and select settings your network administrator should have configured your ad credentials but you can make sure that it's linked with exchange from the account tab call routing is a good time to set up use the wizard to make it easy it will walk you through the settings and options be sure to Run Wizard for all availability States  after you click the wizard the first screen will ask you if you want a simultaneous train you can set up a cell phone or a phone in a different room that you are working in  looking at makes it easy for you to have your Kohl's router two different numbers this feature is called find me you can have your calls routed up to two other numbers so you can be reached at multiple look when recording your greeting make sure you say press one if you would like the system to try and find me  let's take a look at how this works you got a call from a client but you don't answer your desk phone  the call goes to voicemail and the client is given the option to press one to find you leave a message  if he or she presses one the call is routed to your cell phone it will ring a predetermined number of times and if you don't answer there are two possibilities  if you only have one number setup for find me the client will be redirected to your voicemail have another phone number set up the client will be routed to that second phone number that phone number will ring a predetermined number of times if you don't answer the will be redirected to your voicemail if you select the simultaneous ring or the find me feature then you can select extra settings here the next item the wizard will ask you to do is recorded voice greeting that people here while you are in this availability state  what the red circle record a message once clicked the circle will become a gray stop button click the stop button when you have finished with your message  the next screen ask a colors are allowed to leave a voicemail in this availability State choose an option and then click save the voicemail tab will let you change password for your mailbox or you can rerecord your name  instant messaging tab will let you create and use canned responses once you select a canned response and are talking on the phone if you have a second call coming in you can click on the drop-down in the call box and click Send the Santa can message a color must have shoretel connect client you can also block people from sending you messages you're skipping the video tab because it is not a common feature that is installed  in the Outlook app you can select if you want your personal contacts added into the connect client you can also select if you want your availability states to sync with your Outlook calendar in the notifications tab you can select if you want your voicemail forward it email  select if you want audio alerts  you can also select if you want pop-up notifications the desk phone tab will let you select wallpaper and ringtone for your phone  the soft phone rings through your computer or tablet select if you want it to be your default phone when you start up the connect client you can change to your cell phone by clicking your name by the availability States softphone  to make a call from your soft phone you just click in your quick Tyler box  shortfin or type the number you would like to call  press enter double-click or click the green handset to connect the call app lets you choose the max number of calls tells you what your dial out prefix is usually 8 or 9 you can also suppress the call waiting tone while you were on a call suppress the dial tone when I hook in headset mode you can also choose to close the contact card after a call ends we are skipping the workgroup cab
